Participant Grievance Policy

Overview

The ACT Academy is committed to ensuring that all participants in our continuing education (CE) programs have a positive, equitable, and professionally enriching experience. We aim to maintain high standards in educational content, delivery, and organizational conduct. Should any concerns arise, participants are encouraged to share their feedback so that we may address issues promptly and effectively.

Grievance Procedures

1. Filing a Complaint

Participants may submit a grievance at any time, either verbally or in writing. To initiate a formal review, complaints must be submitted by email to:

  • Dr. Amanda Rhodes – info@theactacademy.com

    or

  • Dr. Andrew Santanello – andy@theactacademy.com

Please include as much detail as possible about the nature of the concern.

2. Grievances Regarding Presenters or Program Content

If the complaint involves a specific presenter, the material presented, or the style of presentation, participants will be asked to provide written feedback via email. Drs. Rhodes and/or Santanello will review and, if appropriate, share this information with the presenter while maintaining participant confidentiality.

3. Grievances Regarding Program Structure or Logistics

If the complaint pertains to the structure, level, or delivery of the program—or the environment in which it is offered—Drs. Rhodes and Santanello will review and address the concern. Possible resolutions may include:

  • Reassignment to an alternative workshop (if available)

  • A credit for a future ACT Academy event

  • A partial or full refund of the program fee

Each resolution will be documented in an internal memo for recordkeeping purposes. Complainant identity will remain confidential unless otherwise requested.

4. Organizational Grievances

If a participant raises concerns about the ACT Academy’s operations, policies, or organizational conduct, Drs. Rhodes and Santanello will serve as mediators and decision-makers. Every effort will be made to respond ethically and in a timely manner.

Confidentiality and Timeliness

All grievances will be handled with discretion and in accordance with professional ethical guidelines. ACT Academy will make every reasonable effort to respond to and resolve grievances within 10 business days of receiving a written complaint.
